ACADEMIC AFFAIRS UNIT
The Academic Affairs Unit of Federal Polytechnic Offa is a very important Unit in the Registry Department underthe office of the Registry.
The unit handles all student Academic matter from admissions to the collection of students’ transcripts and certificate.
The Academic Affairs Unit has four major offices which handles different aspects of students Academic matters. These offices which are handled by capable officers include the Admissions office, Examinations and Records, Transcript processing office and Certificate Offices.
The Academic Affairs Unit is headed by a Deputy Registrar, who coordinates and is responsible for the day to day supervision of the activities of the Academic Affairs Unit.

ACADEMIC BOARD MATTERS
The Academic Board is the highest decision making body in the Federal Polytechnic Offa. It is responsible for making decisions on all Academic matters from students Admissions, Accreditation, Academic calendar and consideration of student’s results amongst others.
While the Polytechnic Registrar serves as the Secretary of the Academic Board, the Academic Affairs Unit serves as the Secretary of the Academic Board, the assignment its unit has been handledwith outmost commitment
ADMISSIONS OFFICE
The Admissions Office is an office under the Academic Affairs Unit. It is headed by a Deputy Registrar who is the Admission Officer who coordinates the activities of the office and reports to the Rector through the Registrar and the Deputy Registrar (Academic Affairs Unit).
FUNCTIONS OF THE ADMISSIONS OFFICE/OFFICER
- The Admission office handles the general administration of Admissions for National Diploma (ND) full time and Higher National Diploma (HND) through the online processing of admission.
- The Admissions officer is the gate-keeper to the polytechnic portal on Admission
- The Admission Officer is the secretary of the Polytechnic Admissions committee he attends the Academic Board meetings and liaise with the Joint Admissions and Matriculation Board (JAMB) Offices on matters of Admissions.
ADMISSION COMMITTEE
The Federal Polytechnic Offa has an admission committee which is a statutory committee charged with the responsibility of interpreting the Admission policy every year. It also coordinates the admission process

PROCEDURE FOR ADMISSIONS EXERCISE
The process of Admission is in two Categories, the first category is Admission into the Polytechnic Full-time National Diploma(ND) Programmes under the Joint Admissions and Matriculation Board (JAMB) Central Admissions Processing System (CAPS).
The second category is for the Admission through the National Diploma (ND) Part-Time programme and Hyper National Diploma (HND) (morning and evening) Programme which is motivated by advertising the programmes in two widely circulated National Newspaper

REGISTRATION PROCEDURES
- For ND Students
- Entering Of Bio- data
Having accepted the offer of provisional admission into the polytechnic, students will be required to start registration by inputting their bio-data and upload their credentials/documents (results, state of origin, certificate of birth etc.) unto the Polytechnic Portal
- Entering of O’ Level results
- The Portal Administrator is expected to Pre-Install compulsory subjects while other subject requirements (optional) will also be preloaded without an option for the students to make input. For example, to register for Mass Communication, the compulsory subjects like English Language, Mathematics and Lit. in English must have been pre-installed while others (optional) to make five credit passes must also be preloaded for students to choose
- Also, examination bodies, examination year/month and examination number must also be pre-loaded for students to choose from. This will be repeated for students with two sitting results
- Payment and generation of matriculation number
The expectation is that after the students must have completed the compulsory stages above, they would be directed to link for payment after which matriculation number would be generated
- Having generated the matriculation number, the students would now be required to register for their Courses
- Afterwards, they can now print out the summary of the completed stages and take first, to the HOD and last, to the Registration Officer for signing. It must be noted that the student will submit each copy of the signed summary to the RO and the department. The ROs are expected to take copies of the summary submitted to them to the MIS as evidence that the students have completed the registration processes.
1.1 For HND students
The stages for HND are same as ND but with addition of ND result and Industrial Training (IT) letter at Stage (ii)
1.2 Verification
The full automation of online registration procedure will also eradicate dealing with voluminous files usually submitted by the students as all the uploaded information regarding O’Level results would only be downloaded on an Excel Spreadsheet for the Verification Officer to work on.
1.3 Involvement of Bursary Department
Students are expected to take all evidence of payment i.e school fee, to the Bursary for collection of receipts. The bursary department is also to be given access to the module to monitor progress of activities.
EXAMINATIONS AND RECORDS OFFICE
Another crucial function of Academic Affair unit is the keeping of student Academic records and issuance of result to graduates of this institution. This office is very important to the polytechnic and Academic Affairs Unit as its functions gives credibility to the results issued by the Polytechnic.
VERIFICATION SECTION
The Verification Section of the Academic Affairs Unit carriers out verification of both O’Level and National Diploma (ND) results for the newly admitted students of the Polytechnic in both National Diploma level and Higher National Diploma Level. This is to check for the authenticity of their (students) claimed results.
The report of the verifications is submitted to the Academic Board before the second Semester of final exams for approval. The verification section is made of well-respected and trusted personnel.
THE TRANSCRIPT PROCESSING
Management in its effort to be Information Communication and Technology (ICT)compliance introduced online Transcript Processing. The Online Transcript is an official electronic academic history processed and sent from the Federal Polytechnic Offa to other Educational Institution or its representative for Academic Evaluation of students who intend to further their studies.
The online transcript processing is easier and more convenient as its offer a wide range of benefits for the Polytechnic and the Applicants living abroad and within Nigeria.
PROCEDURE FOR ONLINE PROCESSING OF ACADEMIC TRANSCRIPTS
The Management in its quest to adopt best operational practices as obtainable in advanced settings has commenced processing of academic transcripts online for graduates of the Polytechnic.
GUIDE TO ONLINE TRANSCRIPT APPLICATION
- Visit https://portal.fpo.edu.ngwhich is the polytechnic website
- Fill all the important section in the Bio Data form on the page and submit.
- A link will be sent to the email you provided in the Bio Data Form. Click the link to supply other important details and upload your Statement of Result or Testimonial or Certificate. Please, click on the Submit Button having uploaded any of the mentioned documents. Note: Please, supply valid details of the receiving addresses(s) and reference number where necessary.
- A verification exercise would be conducted on the uploaded document(s) after which another link will be sent to your email to proceed on payment.
- Click on the payment approval link and pay for your desired means of sending your transcript(s).
CERTIFICATE OFFICE
The certificate office is an office under Academic Affairs Unit which is invested with the processing and final issuance of the Polytechnic certificate to the graduates of this Polytechnic.
GUIDES TO APPLICATION FOR THE POLYTECHNIC CERTIFICATE
- An intending graduate applicant musts make payment for the certificate and certificate holder through the remittal to the polytechnic
- Fill certificate processing form obtainable form the certificate office and attached the following documents:
- Two copies of evidence of payment of certificate and payment of certificate holder through online remittal
- Two copies of statements of result/testimonial
- Two recent passport photograph
- Two copies of payment receipt and any of the following mean of identification
- Student personal ID-Card
- Voters Card
- National ID card
- International Card
REGISTRATION EXERCISE
It is important to note that student’s registration is an exercise that qualifies a student as bonafide member of the polytechnic community.
All student of the polytechnic whether fresh or old are expected to register for the prescribed number of courses in theory respective departments at the beginning of each session on payment of the school fees, which is done online through the Polythenic portal www.fpo.edu.g.
Registration for courses involves careful filling of the registration forms indicating the prescribed courses for the session (First and Second Semester). The printed online registration form will be endorsed by the Dean, Head of Department, the Student Registration officer who serves as the representative of the Registrar in the Academic Affairs unit. Registration is completed only when the Registration Officer who serves as the Representative of the Registrar in the Academic Affairs Unit has signed the Student Registration form printed online. Two copies of those form is submitted to the Registration officer along with other relevant documents that qualifies him/her for the programme
ASSESSMENT OF STUDENT PERFORMANCE
Students are assessed through Tests,Classwork and Assignment. These serve as continuous assessment based on 30/40 percent, while the examination itself takes care of the remaining 60/70 percent. A student who has no score in continuous assessment no matter his or her score in the examination cannot score more than 35percent.

GRADUATION POLICY
A student would be qualified to graduate if:
- He/She has registered for at least two sessions or maximum of (08)semesters
- All departmental requirement s are met
- The cumulative average grade point is not less than 2.00.
- Attendance at lectures is not less than 75% in each semester
- The SIWES requirements are met (where necessary)
- Project work is successfully completed
